Today's cover is just sort of what we've heard from our customer base and why we actually built the anniv engine and then we'll get into the nuts and bolts of what Justin and his team have actually built so today we'll cover a a live demo and then go through what it takes to get started with the

anniversary

engine so if you have an anniversary program you know we can get you up and running pretty quickly so let's talk about what we heard from you you know, when it comes to anniversary programs we understand that they are very valuable to our customers about 40% of our customers use blue board to boost their anniversary rewards it really is a way of highlighting longevity you know as a way of saying thank you because you know the resilience that employees have shown in the company and the commitment to your company's missions, so what we hear is that I know it's m It's very manual to send out rewards and it's time consuming, so unlike a one-off reward program where managers can do it on their own ad-hoc, usually anniversary programs are centralized and you need one or two people to send a lot of rewards throughout the year, it's a lot of work, so I wanted to download that for you, the second thing is that due to the manual nature of sending rewards, it presents a lot of opportunities for errors, so it could be that know that the level of the room is wrong. now it essentially introduces a lot of variability or worse, leaves someone out and forgets someone's anniversary, so we also wanted to eliminate that potential for error and then the last component we hear is that you know an important aspect of recognition. it's the manager and that was completely missing from anniversary programs so we wanted to make sure we created a tool that managers could still get involved with, the people who were working with these employees on a daily basis. they can also express their appreciation and also know when people really pick their prizes and go out and do something to fulfill a passion challenge their comfort zone or try something else so that what we've built for what we've really done is built a tool that it allows you to automate the sending of rewards and also approve rewards before they go out so really the idea is similar to delivering customization in scale Justin and the team have created a really amazing tool where you can set rules that you know, receive notifications when rewards are approaching and send rewards automatically at a time of your choosing, either on the day of the anniversary or once. a month or once a week, whatever, and part of the core of that, first and foremost, is security measures, so we had talked about setting up some rules, you know, we can actually help set up those rules so no one forgets and the right messages get the right reward levels sent to employees the second benefit is just control and what this does is it gives you predictability in your schedule your budget predictability predictability over time just gives you full control over what rewards are given out the third party is timeliness so you'll notice in the demo that you can approve the rewards in advance so if someone is no longer in your company or you want to even edit the message a bit to make it even a little more personalized you can do that too and the bottom line is efficiency so as a company we want to make it as easy as possible for you to deliver personalization at scale and across It's about efficiency and with this automation you'll just get more time back through this tool so I'm excited to pass it on to Justin so he can highlight some of the things they've been working on and he'll run a demo on I live so Justin take her away, okay, hello everyone.

I'm going to start by sharing my screen and I hope you can see it now. ok I'm Justin I'm the

lead at blue board and I'm going to demo the anniv engine today so there's already a couple of comments that you can see in the chat ok it's not related to sharing the screen, so I'm fine, so first of all, there are a couple of setup steps. eps to take so if you notice on the top right we have two different modules we have employees and a current balance as well so right now Blue Board doesn't really track the date of hire for the job so we'll rely of your team to provide that. information via a CSV file it's pretty easy your first name last name email and work we'll go over that in the implementation part of this but obviously you also need some kind of budget to fund your anniversary program so now myself I can see on the top right that I have a current balance of ninety-one hundred dollars, so I'm all set.

I can start by creating a rule to target a specific anniversary year so create a new rule I'll say one year anniversaries and I can specify the anniversary job here so let's say it's one here pretty simple but let's say I wanted to do two, three, four, or five, I can do the exact same thing, but for simplicity, let's stick to one year, so next year you can either click Next or click content here So for the first anniversary, pretend I want to reward to everyone who

s their first anniversary with an indigo and if your program uses custom reward levels, they'll appear here, but we're just using the blue board defaults. so that's indigo let's say we're going to give out an indigo reward for everyone who makes it to their first anniversary so i saw the reward level second we can specify the sender of the reward we automatically pull all the different accounts from admin and also admin accounts too so let's say Sarah is hoping this is a real person because it should be dummy data dummy then specify time so we've tried to provide a couple of options of different times to make sure the anniversary reward is valid. on the correct date so we have options like work anniversary day regardless if it's a business day or not let's say someone's anniversary is on Saturday let's say you don't want them to get an email on Satu rday because they might get lost well you can say it's the first day of the week of the anniversary or the first day of the week of the month of the anniversary if that's more convenient our specific number of days before the anniversary date let's say my anniversary is today november 5th and i wanted it a day early so they would send it to me on november 4th that's what that means but again for the sake of simplicity let's take the day of the work anniversary we have options too of time customization, so let's say I like my anniversary rewards go out very early at 5:00 am. m. central time, that's fine, so now that we've got the time down we can customize the messages.

This is a really cool feature because we can actually dynamically pull in the recipient's first name, last name, or anniversary. year so we have this little tooltip as a guide so let's say happy anniversary and I can use these labels first employee board and also a personal note so that's ok looks good but we can also go a little further complex on custom tags so happy we can do 1st anniversary so let's say anniversary year or something just in case you're curious what ordinal means it's like first second like MD, Rd and ST, so we do that.
It's easy for you, okay, and to review what we've done. I click Summary. The name of the automation is called one year anniversary. I'm only aiming for the one year anniversary reward level. everything looks great, so if I'm not exactly sure if I want to set this to live right now, I can save it as a draft, but things look pretty perfect, so I'll go ahead and set to live. it was sent live and i can see my rule at the bottom you can see it was created on 5th november and at 9:40 200 am. or pm or is a. m.
I can also edit it if I'm not too happy with it if I find it's ok I don't like the anniversary in caps I can do that too and since I've created the automated rule the step is to check the auto rewards it generates so this is a rule and it's meant to target a one year anniversary we'll take that into account so I'll click check auto rewards and we can see there's a couple people who have an anniversary coming up so let's say in a filter for the one year anniversary because that is the goal.
I can also filter by rule name but for the sake of simplicity let's take a look at J tester that's my pseudonym for this demo environment so look at work on abhrush coming up for 4 days everything looks pretty good happy 1st anniversary J look at that like that it's great that the tags worked but let's say for J specifically it's me I want to give myself a higher level because I can do that and if I want to give me $1,000 per shark instead and my email is that you're saving a test so it gives you a warning warning because it's a one time reward that will automatically approve you so I'll just click save and I'll also explain how the approval process works so it's a way in that you can further customize a specific reward so if you look at the table we have three different queues we have rewards that are pending approval these rewards are not being sent an. at all or not at all unless you approve them and this gives you a semblance of control over exactly what rewards will be sent out so your budget isn't really deducted unless you approve assent if you notice we started with 90 100 now it's deducted to 80 100 and let's say Lisa Monterey is actually she left the company so why is she getting a one year anniversary given that we can remove this bounty to make sure it doesn't ship at all so I'll remove that the count pending approval go is inactive and the goal is to eventually approve all of these rewards to ship on that specific ship date so if we don't approve the reward let's say Morgan's anniversary is November 11th it will be It's supposed to ship in six days, but if I just don't approve it, let it sit in this queue, it's overdue, which means no one approved it in the proper amount of time, so if it's an overdue bounty and we approve it , it will be out right away, so let's make the transition. to test the shipping queue this is all the rewards i have already approved and i can see it will ship on 9th november and that is the sunday i specified because that is daycare work date so don't worry. you don't approve it or I think you should be concerned but we even try to make it easy by sending you reminder emails 10 business days before the end of the month of all the different rewards pending approval and that's an email telling you it's ok, still have 10 rewards to approve this month or else they won't send anything and when it's 10th november let's say the first reward has already been sent boil and it will go to the penny queue so this is an audit table of all the rewards that were ever sent using our anniversary engine and of course you can export this as CSV just to see what happens or what happened on the platform how much budget has spent who gets rewards and when did they get the rewards senate and i think Let's see if there's anything else to cover, I think it's actuallyall for the anniversary engine so I'll stop here and pass it on to Morgan who will explain some of the implementation details of the fodder ok hello everyone my name is Morgan and I'm the implementation specialist here at Blizzard that not to be confused with Morgan Cheney different than Morgan so I'm very excited because I get to work with all of you to get your anniversary motor show set up and set up so it's a breeze to set up since you saw Justin just check out the demo everything what we really need from you is an employee roster and the implementation team really do a lot of the heavy lifting to get them ready so with that roster that you can see on the screen here we need your employees first and last name as well as the date hiring your job in your email. shortly after this call you'll get an email from me and you'll have a calendar link in that email as soon as I have the list ready we'll book about an hour and then we'll get you all set up.
I'll get you up on the platform using that list as you saw Justin go by and it's super simple we'll set everything up you'll be ready to rock shortly after just an hour call make sure to keep an eye out for that email at about the end of the day today we'll send that and you can book time with me and you'll be ready to send rewards and now I'm going to send it back to John for great questions thank you Morgan and thank you Jeff, we're going through the tutorial to talk about some common questions that I've heard I think the first one is is there an additional cost, so because this is an older feature of the product, there is currently no additional cost for this, so who knows that we just finished beta testing our initial batch of customers who are using it.
I loved it, it makes their life easier and so we wanted to extend it to our existing customers that are using us for anniversary rewards, you know, and not charge them for that, that said in the future this is something that is providing a lot of value. therefore, we anticipate that there would be a cost to net new customers that they want to get from you. How long does the implementation take? So Morgan might want to talk to something like a time commitment. How long can you expect that would take, yes. So after setting up the list, it only takes a one hour call to set up those rules.
It's for your aunt your anniversary program and then you can set it up in about an hour. Can you send from a generic email address so you can

people in your business name? similar, but how do we make updates to recipient emails, for example if they leave a company and you need to change it to a personal email and it seems like a similar question is how do we make changes to the employee list? like any program we can update any employee we use in the company we can change their email in the system and they have the ability to do that and then the same thing with a list we recommend a one year upload just to make sure it's kept up cool and then same thing with rewards approval we go out quarterly so you only need to go in once a quarter or send a calendar invite and go in and just test the rewards and make sure everything is set up right and that's all the questions I see I might want to give it a few more seconds to see if there's any other dripping in hmm.
I see a question in the Q&A queue from Leah Banducci. How do we make changes to the employee list? So in the demo we're at the highest rate it was like the employee module or us about 21 employees and if you click on that you can download a template that has a CSV employee list template that has all the different employees that are up to date so you can use that as a starting point and it will format correctly so if you want to make changes make changes directly to that CSV save and upload again I think that's how you make changes and if you have any other questions that you can set up email support on blue board comm and someone on the implementation team will be happy to help.
